Manage Spaces

Design Hierarchies using Spaces

One of the first things you will likely do when setting up cyn.in is create spaces and sub-spaces in hierarchies which reflect your organization's departments, groups functional areas or interests.
 
You will likely be defining spaces and their sub-spaces in ways that reflect how people organize themselves outside of cyn.in. For example, at a high level, spaces could reflect organizational divisions. Sub-spaces are likely to reflect organizational subdivisions, but they could also mirror areas of interest or other more informal boundaries. For example, you might create a top-level Sales space to reflect the sales department, then create sub-spaces such as Channel Sales, Business Development, and Direct Sales.



Each space and sub-space can have different sets of permissions, so you can control access and capabilities within a space. You can also expose the space to external partners using cyn.in's permissions system. When defining spaces and sub-spaces, be sure to that the divisions and hierarchy are intuitive to people. You might start by looking at how people and teams are organized. Create a general, high-level hierarchy to start at first. Once people are involved, they'll refine the categorization using tags. As a general rule, larger numbers of spaces and sub-spaces tend to create silos and reduce the power of tagging.

 

Create a Space

To create a Space in your cyn.in site follow the below mentioned steps.


  1. Click on the "New" button in top bar, Add new content choose is presented choose  the Space in which you wish to create a space and select "Space", Space creation details will presented.

  2. Fill in details of the Space as per your requirements.

  3. Click on the "Save" button

Customizing Space

A Space can be customized for the following parameters

Note : Space Customization permissions is only available to Owners and Managers

Content Type

A Space Owner or Site Admin can customize the space to allow only specific content types in a Space. This setting can be used so that Space can be used specifically for custom chosen content types only

Default Application View

A Space Owner or Site Admin can customize the space to set a default Application View. This setting can be used to direct users to the Application View intended for the Space.

For example

If a Space is customized such that to only allow Wiki pages then it is advisable to set the Default Application View to Wiki.

Application Views

A Space Owner or Site Admin can customize the space to choose the Allowed Application Views. This setting can be used so that users only get to see the Application Views intended for the Space.

For example

If a Space is customized such that to only allow Wiki pages and the Default Application View is set to Wiki. All other Application Views such as Blog, Discussion Board , Image Gallery, etc can be disabled such that users are not distracted from the purpose of the Space

Note: Disabling the Application View does not equate to restricting the content type.

Manage Space Customizations

 

Remove a Space

To delete a Space from your cyn.in site follow the below mentioned steps.


  1. Navigate to the parent Space of the Space that you wish to delete.
  2. Click on the "Manage" button and select  "Contents", contents of the space will be presented.

  3. Select the check-box  of the Space that you wish to delete.

  4. Click on the "Delete" button .

Managing users or group access permissions

To manage users and group permissions on a Space follow the below mentioned steps.


  1. Navigate to the Space of which you wish to set permissions .
  2. Click on the "Manage" button and select "Sharing" , current permissions of the Space will be presented.

  3. Do a User/Group search, this will return a list of user(s) and group(s).
  4. Select appropriate check-boxes of the permission types against the user(s) and group(s) and Click on "Save".
